  1. Updated Contact Information: It is important that you keep the Team updated with your most current contact information.  Please review your online account to ensure that your contact information is complete and accurate
     
  2. SwimBC & Swimming Canada Registration Fees: These fees are mandatory and cannot be prorated throughout the year, nor are they eligible for any sort of discount or rebate.  As such, they are payable at time of Registration.  Please see Appendix A for applicable definition(s).

    ALL MEMBERS MUST RESPOND to the Swimming Canada validation email.  This MUST BE COMPLETED for your Swimmer to be insured.
     
  3. Proof of Age: All Swimmers must submit their BC Care Card Number to the Duncan Swim Team for proof of age and in case of emergency.  Please ensure that this is declared annually.
     
  4. Membership Fees:  Team membership fees i.e. method of payment for full season are due at time of Registration.  Please see Appendix A (pg3) for each group’s specific information.  Also found in Appendix A:

  5. Officiating Certification/Training & Team Support: The Duncan Swim Team is a Parent supported organization and your involvement, as a member of your team, is necessary to support our Swimmers in succeeding.  It is our goal to inspire our members to be lifelong active participants and, what greater way but for YOUR knowledge to grow by becoming a Swim Official.  No prior knowledge of swimming is necessary.  

Please refer to Appendix B (pg5) for the expectation per level of swimmer for the Officiating Certification / Training & Team Support needed to be received at point of Registration.

  1. Online signup is necessary for every credit to the family account.  It is the responsibility of the member to complete the online signup for receiving credit of any sort.
  1. Fundraising:  The Stingrays are a non-profit organization dedicated to providing opportunities for swimmers to explore their athletic potential.  Monthly fees are utilized to cover operating costs, while team initiated fundraising events (Splash-a-thon, grocery bagging, raffles etc.) are used to help fund team events, purchase equipment to support skill development, and to keep monthly fees down.

We are always looking for new ways in which to raise funds for team events, equipment, and skill development. If you have an idea on how to raise funds in support of your Child's Team, we'd like to hear from you! Please contact DST's volunteer FundRaising Chairperson  to propose your idea and to get started on our next event.  Organizing an event has the added benefit of giving you a credit towards your volunteer commitment as well.

  1.  Training Groups’ Practice and Meet Schedules: It is the expectation that each member be proactive about knowing their swimmer’s schedule(s). 
    The Duncan Swim Team program runs annually, and the associated fees coincide with this annual schedule.  Regular practices are not held on statutory holidays, Winter Break and Spring Break; coinciding with the SD79 school year, unless special arrangements are made.  These interruptions & additions to our Regular Weekly Schedule are factored into each month’s cost.  Each group’s regular weekly schedule is distributed at point of Registration and posted online at www.duncanstingrays.com > About DST > regular weekly schedul
    1. Makeup sessions for illness, vacation, statutory holidays, etc. are available upon request and dependent on space available for specific skill levels to maximum of 1 session at a time.  Request for a session in lieu must be made PRIOR to the anticipated missed session.  Extraordinary and extenuating circumstances are at the discretion of the DST Staff. 
    2. All workouts are delivered by the DST Staff.  Each group’s workout is only available during the specified practice time.  No written workouts will be given in lieu of absence(s)
       
  2. Meet Entry Process & Fees:  please see Appendix D (pg8) for details
     
  3. DST Rights & Responsibilities / Behavioural Expectations:  Appropriate behaviour allows everyone the right to learn, to be safe and to be treated with respect, courtesy, and consideration. Consequently, appropriate behaviour within the Duncan Swim Team is mandatory.

Each person is responsible for their behaviour and must make appropriate choices. It is the responsibility of coaches, parents and others to encourage and enforce appropriate behaviour and good decision making.

  1. DST Code of Conduct & DST Disciplinary Process: The essential elements of character building and ethics in sports are embodied in the concept of sportsmanship and six core principles: respect, trustworthiness, responsibility, fairness, caring, and good citizenship.  The highest potential of sports is achieved when competition reflects these "six pillars of character."

Please see DST Code of Conduct: Appendix F (pg10) and DST Disciplinary Process: Appendix G (pg11) for details.

  1. DST Media Release: The Duncan Swim Team Society and its employees associated with the Team has my permission to use my child’s photograph and / or name for promotional purposes. I understand that the images may be used in print publications, online publications, presentations, websites, and social media, (including Facebook, Instagram Twitter, YouTube.) I also understand that no royalty, fee or other compensation shall become payable to me by reason of such use.
    1. OPTING OUT of Media (if under 18)  If it is my preference for the Team to NOT USE photographs and / or name of my child to promote the team, which includes publications, online publications, presentations, websites, and social media (Including Facebook, Instagram Twitter, YouTube.) I agree to the following:
      1. I will alert the DST Registrar registrar@duncanstingrays.com, in writing, of my family’s preference to NOT include my/our Child(ren)’s name(s) in any form of written publication, and
      2. I will be responsible to make sure my child understands they are not to have their picture taken and in return they (the child) will then will be responsible to take themselves out of the camera shots.
        I will not hold the Duncan Swim Team responsible and its employees to make sure my child is out of the picture.
    2. If there are any other considerations please make it be known.

Appendix A: FEES OUTLINES

  1. Payments
    1. ALL members submit their method of full annual payment either in a single payment OR monthly payments via Credit Card or Email Money Transfer (EMT).  Method of payment must be received on file at point of Registration: 

NO PAYMENT ON FILE = NO WATER. 

  1. Payments are to be made before the 15th of every month for current (0-30 day) invoice.  No exceptions.
  2. One day of Swimming in a month constitutes swimming in that month.  September and October’s dues are rolled into one complete month; 1 day of swimming in Sept and/or Oct is swimming in that ‘month’.
  3. No partial months will be billed or credited nor will adjustments to fees be made ‘after the fact’.  Stat holidays, scheduled Winter & Spring Breaks, year end date, etc. are calculated into your monthly dues.  Daily attendance is taken by Coaches and will be used to verify each month’s billing obligation. 

 

  1. Returned Payments
    1. There are penalties for all declined Credit Card payments and returned insufficient fund (NSF) Cheques.
    2. Cheques will only be accepted for Volunteer Commitments (Appendix B, pg5) & Fundraising Commitments (Appendix C, pg7). 
    3. All declined payments will result in the following:
      1. Payment of a $30.00 service fee to DST
      2. Ten (10) business days to replace the original payment with a certified cheque or EMT
    4. Failure to comply will result in the following
      1. IMMEDIATE suspension of swimming privileges until payment is received
      2. If two declined payments are accrued in one season  further payments must be by EMT or certified cheque. 
         
  2. Refunds
    1. Refunds will be taken off the last month(s) of the season working backwards to present date OR provided as an August refund.
    2. Members in the A – D groups are invited to continue their Swimming into July provided:
      1. Member is focused for this time frame with the goal of a mid summer racing opportunity
      2. Expression of participation is received by DST prior to 01jun22 with July 2022 dues paid in full
         
  3. Funding
    1. DST endeavors to work with applicants for funding and/or sponsors.  It is the responsibility of the member to apply for the funding and follow through to its completion.
    2. If the participant has applied for funding, then a payment on file must be received in lieu and will be held in trust by DST with a maximum 3-month participation window. 
    3. If no funding has been received at the conclusion of the 3-month window, the family’s payment held in trust will be deposited. 
    4. Should the funding come through after the deposit, all funds received will be held as credit until the conclusion of the season. 
       
  4. Withdrawal & Downgrades, Upgrades
    1. Notification of withdrawal / group downgrade, whether temporary or permanent, must be submitted in writing prior to the first day of withdrawal / group downgrade. 
    2. From the date of written notification received, there will be an obligatory 30 day’s notice + the remaining number of days in that said month i.e. withdrawal on March 15th means financial obligation until Apr 30th.
      1. The only exception for consideration is medical reasons confirmed by a Physician’s note for which the monthly fees will be prorated to the full month or half month basis based solely on the calendar date.  Backdating will not be considered – please express your intent in writing ASAP.
    3. Notification of group upgrade, whether temporary or permanent, must be submitted in writing prior to the first day of group upgrade.  Monthly fees will be upgraded upon request to the nearest half month or full month.  Backdating will not be considered.

^ Non-Competitive swimmers can compete as exhibition in one sanctioned event per season. If swimmers want to compete in more competitions, they can be upgraded to the Competitive category.

We encourage participation by all but spaces may be limited in each group.  Priority will be given to those who register for the full season and the full program of their Group.  Lesser commitment may be placed on a waiting list.  Prior to being placed on the waiting list, current registered members will have the opportunity to upgrade.

 

 

Appendix B: Volunteer Commitment

The Duncan Swim Team is YOUR Parent supported organization and your assistance is necessary for our Swimmers to succeed.

We require all families to assist at DST hosted functions and highly encourage involvement at competitions where we visit other facilities. 

How it works:
At Registration, ALL members must have a current Credit Card on file with the DST Team Administrator.

DST will charge members’ cards on 01mar22 for all outstanding Volunteer Commitment amounts.  EMT’s are not preferred but will be accepted, interest will not be accrued. 

The Officials Certification/ Training is applicable to swimmers in the DST Competitive Groups: D, C, B, and A however, we encourage ALL Duncan Swim Team supporters to become familiar with Officiating.  It is single member commitment only, based upon the family’s highest registered swimmer at point of initial annual registration.  There is no additional amount for additional members within the same household.

The Team Support is applicable to swimmers in the DST Competitive Groups: D, C, B, and A as well as the 2nd year registrants of the Non Competitive Groups: E group, and SwimActive.

 

Throughout the season, families are given opportunities to become certified and volunteer thus avoiding credit card charges at the conclusion of the season.  It is our hope that you will look forward and meet the required Volunteer Commitments before the end of the swim season. We actually need your support and volunteer time, not your money.

 

The full Volunteer Commitment is the combined amount of the:

Our suggested goal is for you to participate as an Official equivalent to your child’s participation at every competition.  By doing so, you will learn more about the sport your child has chosen and will likely find greater satisfaction in your child’s participation.

  1. OFFICIALS CERTIFICATION / TRAINING:
    Our Team is a competitive swimming program that requires numerous volunteers to host each session of a sanctioned Swim Meet.  By joining the Stingrays your swimmer is a member of a larger swimming community and it is expected that all members of this community be qualified and volunteer at their designated level – irrespective of competitive / non competitive intentions.  It should also be noted that DST does receive additional funds when hosting competitions, which helps offset ALL swimmer costs.

    It is our recommendation that families work towards these guidelines:
  • Non Competitive, SwimActive and E Group: volunteer in any capacity!  No experience, or knowledge of Swimming is necessary, just become familiar with Swimming and Officiating
  • Competitive:
    • D group: Level I certified
    • C group: Level II certified
    • B & A groups: Level III online course(s) and beyond

How to Become an Official:

Clinics for Swimming Canada’s Officiating Levels I & II are offered by DST volunteers leading into a Swim Meet.  Swimming Canada also offers some online training.  Level III Officials are trained directly from Swimming Canada with more information found online https://www.swimming.ca/en/officiating/.  

We endeavor to coincide this training with the Stingrays’ Time Trials and the Stingrays’ Annual competitions.  We also ensure that more seasoned officials (other parents!) are available to work alongside rookie officials to provide support and answer questions. 

Please SIGN UP ONLINE to ensure credit!  Failure to fulfill the Officials Bond will result in the depositing of cheque on file.  Any partial fulfillment will result in depositing cheque on file and a credit to be applied to the family account.

  1. TEAM SUPPORT:
    Our Team is a competitive swimming program that requires numerous volunteers.  As a result, we encourage all members to work towards understanding and involvement in your child’s sport. 

How it works:
Not applicable to 1st year members in the Non Competitive groups.

Applicable to those in the DST Competitive Groups: A, B, C, D, and Non Competitive program: E Group and SwimActive & Masters (2nd season registrants and beyond).  Commitment is based upon family’s highest registered swimmer and then compounded by each additional child by $100 & 1 additional session at point of initial annual registration per swimmer.

Numerous ‘sessions’ annually are offered to fulfill your family’s volunteer commitment.  As well, you have the option of having multiple family members volunteer at a single event to fulfill more than one ‘session’ at the same time. Families can compound their positions i.e. 3 volunteers on 1 day = 3 sessions.  Opportunities for volunteering include any DST competitions; both sanctioned and unsanctioned.  Please visit www.duncanstingrays.com > calendars for more details.

Please be sure to SIGN UP ONLINE to ensure all credits are applied to your family account for Team Support.  Failure to fulfill the Volunteer Commitment will result in a corresponding dollar amount for the ‘sessions’ left unvolunteered at a rate of $100 per session.

  1.  Fundraising commitment for swimmers and families
    1. Basic Fundraising Commitment: Each swimmer and family has a fundraising commitment based on their swimming level as indicated below. This total is based on 5% of the swimmer’s costs per month of participation.   Families will be given many opportunities to meet their commitment throughout the season.  Families will also have the option to pay out their fundraising commitment if that is preferred.

  1. Annual Splash-A-Thon: This is a very important fundraising event for the Duncan Swim Team. Swimmers are challenged to swim as far as they can in a set time period. A, B and C Group swimmers have two hours to swim a total of 200 lengths or 5000 metres. D and non-competitive Group swimmers have one hour to swim as far as they are able.  The fundraising goal is to raise money through pledges based on how far they swim.
  2. Raffle tickets: We try to organize one raffle draw each year.  The goal is for each family to sell a minimum of one booklet of tickets.
  1. Description of Individual Fundraiser Incentives
    We have implemented an incentive plan for our fundraising events that will benefit individual swimmers as well as the Team. 
    Once swimmers have achieved their team fundraising goal, as indicated above, we will be thanking them for their efforts by giving a portion of any future excess fundraising earnings back to the swimmer’s individual account.  Essentially, once the swimmer reaches their fundraising commitment, and their monthly fees are up to date, they will be able to accrue excess fundraising.

Any excess money will be dispersed as follows: 60% will go to the club and 40% will go to the swimmer. 

Swimmers can use the excess funds towards team travel, monthly fees, or meet fees.  Please note, that all excess funds must be used for club events / items by our final meet in June, as required by our yearly accounting.  No cash will be given directly back to swimmers: a credit will only be held on file to be used prior to the end of the 2021/22 season.

  1. Examples of some of our previous fundraising events
    1. Purdys Chocolate Sales:  This event generally takes place in November.  Swimmers have the opportunity to sell chocolates with 25% of total sales being earned.  Many swimmers have been able to meet their fundraising commitments with this one event. 
    2. Burger and Beer Night: Date to be determined. Families will have the opportunity to sell tickets and to participate in silent auctions.
    3. Drumroaster Coffee Sales: This has been a great opportunity to raise funds as swimmers earned a minimum of $7.00 per bag sold. 
    4. Superstore Bagging: We generally hold this event once or twice throughout the year.  This activity is a great way for our swimmers to work collaboratively in raising money for the team. Swimmers work together in bagging groceries for customers with the hopes of receiving tips for team.

 Our volunteer DST Fundraising Chairperson will endeavour to release a calendar at the opening of the season to highlight specific events that have been booked.  The calendar will continue to be updated throughout the season as more events are added.  This will give the membership appropriate time to plan for participation.

Appendix D: Swim Meets

Entry process & Fees

  1. Swimmers must confirm online via the DST website > specific competition PRIOR to the DST internal deadline stated on the website.  NO CONFIRMATION = NO PARTICIPATION

Please note that the DST internal deadline is set prior to the Host Team deadline to allow for our Staff to process all that is needed for entrance into a competition.

Our Staff have limited administrative hours dedicated to this aspect of our program.  Calendars & Invitations are provided to the membership well in advance of the event.  Please help us streamline this process.  Late requests MAY be accepted with a penalty and are at the DST Staff discretion to accept.  If accepted, the penalty will be:

  1. 1st offense: nil penalty
  2. 2nd offense: $20 penalty
  3. 3rd offense(s) and beyond: $50 penalty

 

  1. To ensure that appropriate DST Staffing is available to all competitors, the cost to send Staff will be divided equally amongst all participants of that specific competition.  This is a single cost regardless of the length of competition.
    1. Swimmers who qualify and choose to compete in a Heats & Finals competition are expected to attend all sessions on their day(s) of competing.  Parents: please inform your Coach at point of online declaration if your swimmer cannot attend both sessions on their day(s) of participation.
       
  2. Once confirmed online via www.duncanstingrays.com, members have until the Host Team’s entry deadline to decline participation; this is typically a week prior to the competition.  Once this deadline has passed, each participating member is obligated to the Duncan Swim Team for the expressed fees amounts and are payable upon notification. 
    1. Swimmers are responsible for entry fees at Swim Meets paid PRIOR to the 1st day of competition.  Families will receive the specific amount due via email with directions for preferred payment method. 
    2. If your swimmer is entered into a meet and does not attend, the meet fees and Coach Meet Cost are still your responsibility. 
      1. The only potential exception is if a Physician’s note is received in a reasonable period of time AND a refund is provided by the Host Team.  Please note that this refund is wholly and completely dependent on the decision of the Host Team.
    3. Confirmations received online will be followed through upon.  To rescind your confirmation for a competition, please do so in writing PRIOR to the HOST TEAM’S DEADLINE.  Failure to do so will result in member financial obligation.

NIL CONFIRMATION = NIL ENTRY

  1. Competition participation along with events selections are at the full discretion of the DST Coaching Staff.  The DST Coaching Staff will work directly with the swimmer to determine the swimmer’s events selections.
     
  2. The Team will pay entry fees for Relays.  Relay Team selection is determined by the DST Staff.
     
  3. Please note: Swimmers, Coaches, and Officials are permitted on the competition deck.  Family members not fitting in any of these 3 categories will have their own designated seating area

 

 

Appendix E: Rights & Responsibilities

The Duncan Swim Team is committed to inspire every person in its organization by providing opportunities to develop skills, knowledge and values necessary for each individual to become a capable and contributing participant in the swimming community.

 Swimmers have the right to:

  1. Be treated with respect and consideration
  2. Feel safe in a caring environment
  3. A high quality swim program which takes into account their individual strengths and needs
  4. Express their ideas and opinions respectfully
  5. Be supported in their overall development: physical, mental, emotional, technical, and spiritual, etc

 Swimmers have the responsibility to:

  1. Treat others with consideration and fairness while respecting their rights and feelings
  2. Help establish a clean, safe environment by caring for all personal and Team property
  3. Demonstrate positive attitudes toward learning
  4. Participate actively in all aspects of their swim program
  5. Report all violations of the Code of Conduct to an authority figure (Coach, parent, senior swimmer, Executive member)

 

 Parents have the right to:

  1. Be treated with respect and consideration
  2. Be informed of their child’s progress and be notified of any behaviour concerns
  3. Have their child swim in a safe, friendly environment which builds self-esteem and a sense of belonging
  4. Play an active role in their child’s swimming development as Head Cheerleader

 Parents have the responsibility to:

  1. Discuss and assist their child in understanding this Code of Conduct
  2. Encourage their child to respect the rights and feeling of others
  3. Play an active part in their child’s swimming and when their child enters the ‘competitive arena’, to play an active role as a volunteer at every competition
  4. Be their Child’s biggest cheerleader
  5. Let the Coach coach
  6. Be in regular contact with their child’s Coach
  7. Report all violations of the Code of Conduct to the Coach or DST Executive member

 

DST Staff have the right to:

  1. Be treated with respect and consideration
  2. Work in a safe non-threatening environment free from harassment
  3. Work in an environment supported by the Parents
  4. Expect swimmers to participate and be involved in a productive manner
  5. Expect Parents to trust the Coach with the Swimmer’s development and let the Coach be the Coach

 

DST Staff have the responsibility to:

  1. Provide the best swim program possible, accommodating individual swimmers’ needs with consideration of each swimmer’s personal commitment
  2. Create and maintain order in a safe, nurturing environment
  3. Deal with swimmers, parents, and peers in a fair and positive manner
  4. Communicate with parents regarding each child’s program and progress as necessary
  5. Report all violations of the Code of Conduct to the Head Coach who will liaise with the Board of Directors

 

 

Appendix F: Code of Conduct

  1. I will not force my child to participate in sports.
  2. I will remember that children participate to have fun and that the game is for youth, not adults.
  3. I will inform the coach of any challenge, disability or ailment that may affect the safety of my child or the safety of others and / or may hinder their development as an athlete.
  4. I will learn the rules of the game and the policies of DST, Swim BC, SNC, and FINA.
  5. I (and my guests) will be a positive role model for my child and encourage sportsmanship by showing respect and courtesy, and by demonstrating positive support for all players, coaches, officials and spectators at every practice, swim meet, club function or event.
  6. I (and my guests) will not engage in any kind of unsportsmanlike conduct with any official, coach, swimmer, or parent.
  7. I will not encourage any behaviors or practices that would endanger the health and well-being of the swimmers – physical, mental, emotional, etc
  8. I will teach my child to play by the rules and to resolve conflicts without resorting to hostility or violence.
  9. I will be an example to and demand that my child treat other swimmers, coaches, officials and spectators with respect regardless of race, creed, color, sex or ability.
  10. I will teach my child that doing one's best is more important than winning, so that my child will never feel defeated by the outcome of a race or his/her performance.
  1. I will praise my child for trying their best, and make my child feel like a success every time.
  2. I will never ridicule or yell at my child or other participants for making a mistake or losing a competition.
  3. I will emphasize skill development and their long term practices and how they benefit my child over winning.
  4. I will promote the emotional and physical well-being of the Stingrays swimmers ahead of any personal desire I may have for my child to win.
  5. I will respect the Officials & Coaches and their authority during practices and meets and will never question, discuss, or confront the Officials and know that this is the Coach’s responsibility. 
  6. I will also not confront the Officials & Coaches during a practice and / or Meet, and will take time to speak with coaches at an agreed upon time and place.
  7. I will demand a sports environment for my child that is free from drugs, tobacco, and alcohol and I will refrain from their use at all events.
  8. I will “let the Coach coach” and refrain from coaching my child or other players during practices and Meets.  I understand my greatest role is to be my Child’s cheerleader and not the coach.

 

 

 Appendix G: DST DISCIPLINARY PROCESS

Each person is responsible for his/ her behaviour and is capable of making appropriate choices. It is therefore the responsibility of coaches, parents and all others associated with DST to encourage and enforce appropriate behaviour and good decision making.

 

As members of DST, w agree that failure to abide by the DST Code of Conduct above and DST Rights & Responsibilities listed in both Appendix E and Appendix F, and that I and/or my Swimmer(s) will be subject to disciplinary action that could include, but is not limited to the following*:

  • 1st violation: Verbal acknowledgement and / or warning by Official, DST Head Coach, and / or the DST Board of Director(s).  This will include a written documentation to be kept on file
  • 2nd violation: Written warning received from the DST Head Coach and / or DST Board of Directors and kept on file.  A ‘2nd violation’ is defined as a second (2nd) violation of any kind compounding upon the first (1st) violation
  • 3rd violation: Parental AND / OR Swimmer practice and swim meet suspension with written documentation of incident kept on file by the Duncan Swim Team
     
  •  Final violation: Parental AND / OR Swimmer season suspension

* The Duncan Swim Team Society and its authority reserve the right to expedite the process listed above if necessary.

In the instances of the above, DST’s volunteer Parent Liaison will assist both the DST Staff and the DST membership.  Members are welcome to contact the DST volunteer Parent Liaison independently and at any time. 

 

 

By agreeing to the online form with the Duncan Swim Team (DST) Registration, this is understood to be the equivalent to physically signing the paper copies of the DST Registration forms.
